[Donor Management System] Issuing Tax Receipts

After adding a single or multiple Contributions, you can issue Tax Receipts to the Contacts associated with those offline Contributions.

Considerations

  • Contacts with no address (1) and already receipted Contributions (2) are not eligible for Receipting. Before issuing these receipts, you have to update your Contact (1) and issue a duplicate Tax Receipt (2).
  • You cannot receipt Contributions coming from CanadaHelps.org (Contributions that have their Source as CanadaHelps).
  • Online Contributions coming from CanadaHelps.org cannot be receipted in the DMS because all non-Events donations have CanadaHelps as the receipting party. When you receipt an offline Contribution in the DMS, your organisation is the receipting party.
  • You can still receipt Live Transactions.

Issuing a Single Tax Receipt

1. Go to the Contributions Tab

2. Search for the specific Contribution you wish to issue a Tax Receipt for

3. Select the specific Contribution Amount

4. On the next page, select Issue Tax Receipt at the top right

5. You will then see more information on how to receipt this Contribution

6. Select Run in preview mode? (1) and then Issue Tax Receipt (2) to see a preview of the Receipt before actually issuing it

6. Once you’re ready to issue the Tax Receipt, select either:

  • Download to save the receipt as a PDF, or
  • Email and Download to save the receipt as a PDF (via your backend email for receipt communications) and email the Contact with the attached PDF.

7. Then, select Issue Tax Receipt

8. The Tax Receipt will then be downloaded and/or sent to the Contact’s registered email address.


Issuing Multiple Tax Receipts

1. Go to the Contributions Tab

2. Search for a specific Contribution or select either:

  • (1) The specific Contributions you wish to issue Tax Receipts for,
  • (2) Every listed Contribution on the page, or
  • (3) All Contributions in your search criteria

3. Select the Actions menu at the upper-left side of the Contributions list

4. Select either

5. You will then be directed to the specific Export Page (depending on which option you selected) which will be covered below


Issuing Combined Receipts with Total Contributed

1. After selecting your desired Contributions, you will be directed to the Combined Receipt Export Page. You will have the chance to review and select the following:

  • How many Contributions were selected and all potential duplicates.
  • Tax Year: which tax year to issue the Tax Receipt(s) for.
  • Run in preview mode?: preview how your finalised Tax Receipt(s) will look like.
  • Download: save your Tax Receipt(s) in PDF format to be sent to your Contacts manually.
  • Email and Download: save your Tax Receipt(s) in PDF format and automatically send a copy of the receipt to the Contact’s primary email.

Note: the DMS will identify potential duplicates and Contacts with no email address before issues the Tax Receipt(s). You will have the option to update these Contacts or bypass any of these warnings.

2. Select your desired Tax Year to be reflected on the Tax Receipts

3. Select Run in preview mode? (1) and then Issue Tax Receipts (2) to see a preview of the Receipts before actually issuing them

4. Once you’re ready to issue the Tax Receipts, select either:

  • Download to save the receipt as a PDF, or
  • Email and Download to save the receipt as a PDF (via your backend email for receipt communications) and email the Contact with the attached PDF.

5. Then, select Issue Tax Receipts

6. The Tax Receipt(s) will then be downloaded and/or sent to the Contacts’ registered email address.


Issuing Separate Receipts for Each Contribution

1. After selecting your desired Contributions, you will be directed to the Separate Receipt Export Page. You will have the chance to review and select the following:

  • How many Contributions were selected and all potential duplicates.
  • Tax Receipt Status: highlights Contributions that have already been receipted and the ones that have not.
  • Issue tax receipts for the X# unreceipted contributions only.
  • Issue tax receipts for all Y# contributions. Previously-receipted contributions will be marked ‘duplicate’.
  • Run in preview mode?: preview how your finalised Tax Receipt(s) will look like.
  • Download: save your Tax Receipt(s) in PDF format to be sent to your Contacts manually.
  • Email and Download: save your Tax Receipt(s) in PDF format and automatically send a copy of the receipt to the Contact’s primary email.

2. Select either:
