[Donor Management System] Navigating the Main Menu & Tabs

  • Upon logging in, at the top of the Home Tab, you will see the Main Menu / Navigation Bar.
  • The Main Menu allows you to visit each section of the DMS and is always accessible from any page.
  • To navigate to any section of the DMS, click on one of the available Tabs of the Main Menu.

Contacts Tab


Overview

  • By selecting Contacts in the Main Menu, you will be directed to the main screen of the Contacts Tab.
  • The main screen of the Contacts Tab presents a list of every contact record in your DMS with basic information about each Contact.
  • To access a contact record, click on the name of a Contact.
  • You can also add a Contact from this Tab by selecting Add Contact in the top right corner.

Contacts List Columns

  • Name: Contact’s last, first names
  • City
  • Province
  • Phone: Contact’s main phone number
  • Date Created: the date the Contact was created
  • Last Modified: the date the Contact record was last modified

Contributions Tab


Overview

  • By selecting Contributions in the Main Menu, you will be directed to the main screen of the Contributions Tab.
  • The main screen of the Contributions Tab presents a list of every Contribution in the DMS in order of the most recent Contribution Date.
  • Each time a new Contribution is added to the DMS, it will appear at the top of this list.
  • You can also add a Contribution from this Tab by selecting Add Contact in the top right corner.

Contributions List Columns

  • Reference: access an individual Contribution by selecting View or the Reference Number under the same column.
  • Name: Contact’s last, first names
  • Date: the date the Contribution was made
  • Amount: the Contribution’s dollar amount
  • Method: the original payment method of the Contribution
  • Fund: the Fund the Contribution is associated with
  • Source: the source associated with that Contribution when it was originally imported into the DMS (e.g. Historical Data Import)
  • Thanked: if the Contact has been thanked for that Contribution (represented by a checkmark).

Campaigns Tab


Overview

  • By selecting Campaigns in the Main Menu, you will be directed to the Campaigns Tab.
  • The main screen of the Campaigns Tab contains information about the fundraising campaigns you have undertaken online through CanadaHelps.
  • You can also add a Campaign from this Tab by selecting Add Campaign in the top right corner

Campaigns List Column

  • Name
  • Type
  • Campaign Group
  • Start Date of the Campaign
  • The End Date of the Campaign
  • Goal: The monetary goal of the Campaign
  • Selected Period: The total raised in the selected period (applicable when filtered)
  • All-Time: The all-time revenue raised by that Campaign.

Opportunities Tab

Overview

  • By selecting Opportunities in the Main Menu, you will be directed to the Opportunities Tab.
  • The main screen of the Opportunities Tab is a management resource for your organization that enables you to record and track the status of medium to long-term requests like grant applications, major gifts, and special projects.
  • Each Opportunity is associated with both a Contact in the DMS (the Contact you are approaching for the Opportunity) and a DMS User (the individual at your organization responsible for overseeing the Opportunity).
  • You can also add an Opportunity from this tab by selecting Add Opportunities in the top right corner

Opportunities List Colum

  • Name: the name of the Contact you are approaching for the Opportunity
  • Opportunity Name: the name of the grant or project
  • Type
  • Status
  • Requested: the amount requested
  • Received: the amount received
  • Decision date: the date the final decision about the Opportunity was made
  • Owner: the DMS user overseeing the Opportunity

Reports Tab

Overview

  • By selecting Reports in the Main Menu, you will be directed to the main screen of the Reports Tab.
  • The main screen of the Reports Tab presents a list of every preset DMS Report showcasing various metrics for your Contacts, Contributions and Campaigns.
  • To access a Report, click on the name of the Report or View Results.
  • While the list of Reports is set, you can, however, filter each Report by multiple criteria.

Administer Tab

Overview

  • By selecting Administer in the Main Menu, you will be directed to the Administer Tab.
  • The main screen of the Administer Tab contains a list of all Settings to administer your DMS site.
  • The Administer Tab is broken down by Administer Sections, each one representing an area of the DMS.
  • To see the settings options in each Section, click on the arrow to the left of each Section description.
